Agency workflow

One review path from introduction to clinical coordination.

The partnership workflow separates public relationship information from protected donor records and makes ownership of each step visible.

RCA clinical team coordinating a protected donor workflow

Six stages

What the intended workflow should make clear.

1

Partnership inquiry

RCA learns about the agency, its services, locations, contacts, and proposed donor pathway.

2

Access review

RCA decides whether to provide an agency role and confirms the approved submission channel.

3

Profile submission

The agency supplies requested profile information and documentation through authenticated access.

4

Program review

RCA checks completeness, source coding, consent context, and administrative questions.

5

Clinical coordination

The clinical team determines what evaluation, testing, review, or updated material is required.

6

Status and inquiry

Authorized users see the appropriate status and respond to intended-parent or RCA questions without exposing private records publicly.

Before submitting

Prepare for accuracy, consent, and follow-up.

Current donor status

Availability must be confirmed and updated; a profile should not be treated as a reservation or clinical clearance.

Permission and photo use

The agency must understand what use is authorized and avoid sharing beyond the agreed audience and purpose.

Document provenance

RCA may need to know who created a record, when it was completed, and whether an updated version exists.

Escalation route

Medical, legal, security, and intended-parent questions should reach the correct RCA role rather than a public inbox.

Tell RCA about your agency.
